Dear Graduand,

Convocation is a special day in the academic life of students as after years of hard work and dedication; they get their hard earned education degrees. Wearing the traditional academic regalia and walking up the stage is the dream of every student in front of his colleagues, friends and family members who have supported them in their difficult endeavor. It is a defining moment in every student’s life giving his self-esteem a boost.

The academic excellence and reputation of any institution depends on the quality of education and training imparted. The much awaited convocation ceremony is a proof of the quality of education that has been imparted to the students. It is a culmination of the hard work they have put in to achieve their degrees. The special moment was cheered on by all the guests present.

We are glad to inform you that the 12th Convocation of the Institute will be held on Saturday, the 30th July, 2016 at 02:00 PM. at the Barn Hall of the Institute. Prof. Uday B. Desai, Director, Indian Institute of Technology Hyderabad, Kandi – 502 285, Telangana, India has consented to be the Chief Guest of the Convocation.

The graduands are requested to read the following instructions carefully:

2. Prior to Convocation

• The Post Graduate students (M.Tech., M.Sc., MCA, MBA, MS, Ph.D.) will have to provide their previous academic certificate (e.g. B.Tech.) without which they will not be eligible to receive the degree during convocation. The students who have not submitted earlier can send the scanned copy of the document to convocation@nitt.edu on or before 22.07.2016.
• The students those who have dues in the Institute fee / CSG / Hostel / Library will have to clear the dues before the convocation, without which they will not be allowed to receive the degree during convocation. The students who have not cleared the dues can clear / pay the dues and send the scanned copy of the proof to convocation@nitt.edu on or before 22.07.2016.

3. Online Registration

• If you desire to attend the Convocation please mention in the online registration form whether you wish to receive the DEGREE IN-PERSON or DEGREE IN-ABSENTIA,

(E-mail /hard copy will not be entertained.)

The last date for the online registration is 22.07.2016

4. Registration / Convocation Gowns (On the day of the convocation)

• Registration time: On campus registration will commence in the Convocation Reception office from 8:00 AM on 30-07-16 and close by 11:00 AM.
• The official invitation will be issued to you when you collect the gown from the Reception Office at the labs as detailed below:

• Department faculty member in-charge of registration will be available in the respective Convocation Reception Office.
o Kindly register your name in the list with the faculty member.
o Collect the token for the Gown, Food coupons and Entry Pass for the guests of the registrants.
o Registration / Issue of token for the Gowns will not be done to proxy.
• The Institute will arrange to supply the gown for the occasion at the Convocation Reception Office in the corresponding labs. Please collect your Convocation Gowns on 30th July, 2016, during 08:00 AM to 11:00 AM which needs to be returned immediately after the Convocation.
• A refundable deposit of Rs. 400/- has to be deposited while collecting the Gowns. The deposit towards the Gown shall be refunded on the return of the gown immediately after convocation.
• Registration counter will be closed by 11:00 AM. Graduands will not be issued the convocation gown after 11:00 AM.

5. Rehearsal (On the day of the convocation)

• Graduands are requested to assemble in the Convocation Hall at 11:00 AM for a rehearsal.

6. Seating in the Convocation Hall

• The Entry Gates to the Convocation Hall will open at 12:00 Noon. Please proceed to the Convocation Hall after you have collected your Gown.
• Entry Pass will be issued to the guests of the registrants. Possession of Entry Pass is mandatory to occupy a seat in the BARN.
• The seating arrangements for Guests are in the reserved areas duly marked inside the Hall by placards.
• The graduands are requested to wear formal attire befitting the occasion. Please enter the Convocation Hall (Barn Hall) wearing formals. (e.g. full pant and full shirt for boys and sarees or salwars for girls) along with the convocation gown and occupy the seat by 01:00 P.M. (T shirts and jeans are not allowed)
• Graduands will not be allowed to enter / leave the BARN after 1:30 PM.
• The audience shall remain standing at their respective seats as the Academic Procession enters and proceeds towards the dais and till the end of the National Anthem.
• It is mandatory that the decorum of the convocation proceedings should be maintained by every graduate until the procession leaves the convocation hall.
• Please note that children below 12 years are not allowed into the convocation hall during the convocation.
• Those who reach after 11:00 AM on 30.07.2016 can only receive the degree certificate after the convocation function from the O/o Dean (Academic).
• In case you are unable to be present at the Convocation, the degree certificate will be sent to your address by Speed Post after the Convocation (approximately 15 days). Any change in the address, after registration may kindly be e-mailed to convocation@nitt.edu

7. Degree Distribution Ceremony

• The Convocation will begin by 2:00 PM.
• Graduands will receive their degree certificates in person from the Director on the dais.
• Degrees will be awarded to all recipients (who have registered at the convocation Reception Office) in the department order, viz Ph.D., MS (by Research), M.Tech., M.Sc. and B.Tech. degrees.
• As the names of degree recipients for a particular degree are called, they should proceed, one by one, to the dais in a line following the specified order (Ph.D., MS (by Research), M.Tech., M.Sc. and B.Tech.).
• The procedure mentioned below must be followed while receiving the degree:
•• Walk on to the stage from the left side ramp
•• While moving to the dais for receiving the degrees from the Director, they should bow before the Chief Guest, Chairman, Board of Governors and Guests of Honour. After receiving the degree certificates, they should return to their respective seats
•• While receiving the degree from Director, look towards the camera; No second chance to pose for the camera.
•• After receiving the degree, walk down through the ramp (right side) and go back to your seat.
•• NO handshakes while receiving the degree from Director.
• The recipient of the President Gold Medal will read the pledge, and all the degree recipients will stand up and take the oath by reciting the same.
• Graduands remain silent at all times, until the academic procession leaves the Barn Hall.
• The audience will remain standing till the Academic Procession leaves the Hall.

The Institute bus will be available at Tiruchirappalli Junction at 9:00 PM on 29.07.2016 and 4:30 to 5:30 AM on 30.07.2016 to receive the graduands to the institute.
